Privacy Policy
Last Updated: 2026/07/28
Welcome to Rozeta AI. We are dedicated to safeguarding your privacy and ensuring a secure experience. This Privacy Policy explains how Rozeta AI ("we," "us," or "our") collects, uses, processes, discloses, retains, and protects information across our applications, services, and website (collectively, the "Services").
This Privacy Policy is intended to help you understand how we collect, use, and protect your data. Where required by applicable law, we will request your consent separately. In other cases, we process information as necessary to provide the Services, fulfill our contractual obligations, comply with legal requirements, protect the security and integrity of our Services, and pursue legitimate business interests described in this Policy.
Rozeta AI operates facilities and uses service providers in the United States, Japan, and other jurisdictions where we or our trusted providers operate. As a result, your information may be processed and stored in countries that may have different data protection laws than your country of residence. Where required, we use legally recognized transfer mechanisms and appropriate safeguards (see Section 8).
1. Information Collection and Categories
To provide a seamless and secure experience, we categorize the information we interact with into the following types. You may choose to withhold certain personal details, but doing so may limit your ability to use core features of the Services.
Personal Information This includes identifiable data necessary for account management and service delivery, such as your name, email address, account credentials, subscription status, billing information, and payment-related details if you subscribe to a paid tier.
Technical and Device Data We automatically collect standard diagnostic and technical data when you connect to our Services. This may include your IP address, device type, operating system version, app version, browser type, language settings, crash reports, error codes, latency, security logs, and general connectivity metrics necessary to maintain the performance, reliability, and security of the Services.
User Content User Content includes audio streams, speech-to-text transcriptions, translated text, uploaded files, glossary terms, conversation context, and other content that users provide, generate, or process through the Services. We process User Content solely to provide, secure, troubleshoot, support, and maintain the operational reliability of the Services, unless otherwise directed by you.
Sensitive Information The Services may process sensitive information if users speak, upload, or submit such information during translation sessions. Users should avoid submitting sensitive personal information unless necessary for their intended use of the Services. When sensitive information is processed, we process it only as necessary to provide the requested translation or related service features, unless a different lawful basis or user instruction applies.
2. Strict Use of Cookies and Telemetry
At Rozeta AI, your privacy is paramount. Our use of cookies and similar web technologies is strictly limited to maintaining the essential operations of our system. We only deploy cookies or similar technologies for:
- Maintaining your active login state and authentication.
- Enforcing security protocols and preventing unauthorized access.
- Managing server load balancing to keep the Services running reliably.
- Remembering essential service preferences.
- Other foundational system requirements.
We do not use cookies for marketing campaigns, cross-site behavioral tracking, or delivering targeted advertisements.
We may use privacy-preserving, first-party telemetry solely to understand general system performance, detect crashes, prevent abuse, improve reliability, and enhance user experience. Telemetry may include app version, device type, operating system, crash reports, latency, error codes, and feature performance metrics.
Telemetry is designed not to include audio content or translated text unless you voluntarily submit diagnostic logs, support materials, or other information to us for troubleshooting. Product analytics are aggregated or de-identified where reasonably possible and are not shared with third-party data brokers.
3. Voice Data, Translations, and AI Model Usage
Rozeta AI utilizes voice recognition, speech processing, translation systems, and Large Language Models (LLMs) sourced from open-source and commercial providers to process and translate speech accurately.
We maintain strict boundaries regarding audio data, transcripts, translations, and AI usage:
- No Default Audio Retention: By default, Rozeta AI does not retain audio recordings after real-time processing is completed. Audio data may be temporarily buffered or processed in memory, encrypted transit systems, or trusted service provider environments solely to deliver the translation service.
- Limited Technical Processing: To provide real-time translation, audio and related data may be temporarily processed through secure infrastructure, memory buffers, encrypted network transmission, or trusted service provider systems. Any such processing is limited to what is necessary to provide, secure, monitor, or troubleshoot the Services.
- Saved Features: If a feature allows users to save transcripts, translation history, conversation records, custom glossaries, or exported files, we will retain that content according to the settings associated with that feature or your instructions.
- No General Model Training: We do not use customer audio, transcripts, translations, or uploaded content to train or fine-tune general-purpose AI models.
- Third-Party Provider Restrictions: We require our AI, speech, translation, infrastructure, and other subprocessors to process customer content only according to our instructions and not to use customer content for their own model training.
- Optional Product Improvement or Customization: If we ever offer optional product-improvement, quality-review, or custom-model features that use customer content, we will provide separate notice and obtain appropriate consent or opt-in where required.
- Enterprise-Grade AI Providers: We prioritize enterprise-grade providers and contractual arrangements designed to protect customer content, restrict unauthorized use, and prevent customer data from being used for provider-side model training.
4. How We Utilize Your Information
We use Personal Information, Technical and Device Data, and User Content for the following operational purposes:
- Delivering, maintaining, and providing customer support for the Services.
- Processing speech, text, files, and related inputs to provide translation and related features.
- Verifying your identity and securing your account.
- Processing payments and sending related administrative communications, such as receipts, account notices, security alerts, or terms updates.
- Troubleshooting related technical issues.
- Preventing fraud, abuse, unauthorized access, and security incidents.
- Maintaining system availability, performance, and reliability.
- Complying with legal obligations and enforcing our agreements.
- Responding to user requests, privacy rights requests, and support inquiries.
We do not use User Content for advertising, cross-site tracking, third-party data brokerage, or general-purpose AI model training.
5. Data Disclosure and Sharing
We are firmly committed to the principle that your data is yours. We do not sell, rent, or lease your Personal Information or User Content to third parties. We may disclose information only under the following limited circumstances:
- Essential Service Providers and Subprocessors: We may share limited information with trusted infrastructure, hosting, speech recognition, translation, AI inference, payment processing, analytics, security, customer support, and managed computing providers who require access solely to facilitate the Services. These providers are contractually required to process data only according to our instructions, apply appropriate security safeguards, and not use customer content for their own model training.
- Legal Obligations: We may disclose information when required by applicable law, regulation, legal process, lawful government request, or to protect the rights, property, and safety of Rozeta AI, our users, or the public.
- Security and Abuse Prevention: We may disclose information when necessary to investigate, prevent, or address fraud, abuse, security incidents, unauthorized access, or technical issues.
- Corporate Transitions: In the event of a merger, acquisition, financing, reorganization, bankruptcy, or asset sale, user accounts and related information may be transferred as part of the transaction, subject to appropriate confidentiality and data protection safeguards.
6. Data Security and Retention
Rozeta AI implements commercially reasonable administrative, technical, and physical safeguards designed to protect account information, User Content, and technical data against unauthorized access, alteration, disclosure, or destruction. These safeguards may include encryption in transit, access controls, logging and monitoring, secure infrastructure practices, credential protection, and vendor security reviews.
However, no internet-based system is entirely impenetrable. Account holders share responsibility for keeping login credentials secure, using strong passwords, and promptly notifying us of suspected unauthorized access.
We retain information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer retention period is required or permitted by law. Retention periods may vary depending on the type of data, user settings, contractual requirements, legal obligations, and security needs.
Our general retention approach is:
- Audio Streams: Processed in real time and not retained by default after processing is completed, except for temporary technical processing necessary to provide the Services.
- Meeting Transcripts and Translations: Retained as meeting records until deleted by the user. Users may delete them at any time through the Services, subject to applicable legal requirements.
- Uploaded Files: Retained according to the applicable feature settings, user instructions, or support requirements.
- Account Data: Retained while your account is active and as necessary for billing, legal, tax, security, dispute resolution, and agreement enforcement purposes.
- Security Logs: Retained for a limited period necessary to detect, investigate, and prevent fraud, abuse, unauthorized access, and security incidents.
- Support Records: Retained as necessary to respond to user requests, resolve issues, maintain business records, and comply with legal obligations.
- De-identified or Aggregated Data: May be retained for operational analytics, reliability monitoring, and service improvement where it no longer identifies an individual.
When information is no longer needed, we will delete, de-identify, aggregate, or securely archive it in accordance with applicable law and our internal retention practices.
7. Children's Privacy
Our Services are not designed for, nor directed at, individuals under the age of 13. We do not knowingly collect Personal Information from children under 13. If we become aware that an individual under 13 has provided us with personal data, we will take appropriate steps to delete that information from our systems, unless retention is required by law.
If applicable law requires a higher minimum age or parental consent for use of the Services in a particular jurisdiction, we will comply with those requirements.
8. Regional Privacy Rights
Depending on where you reside, you may have certain rights regarding your personal information, subject to applicable law and limitations. These rights may include the right to access, correct, delete, restrict, object to processing, receive a portable copy of your data, or withdraw consent where processing is based on consent.
To exercise your privacy rights, please contact us at [email protected]. We may need to verify your identity before responding to your request.

- Know what categories of personal information we collect, use, disclose, or share.
- Request access to specific pieces of personal information.
- Request deletion of personal information, subject to legal exceptions.
- Request correction of inaccurate personal information.
- Opt out of the sale or sharing of personal information.
- Limit the use and disclosure of sensitive personal information where applicable.
- Not be discriminated against for exercising privacy rights.
Rozeta AI does not sell Personal Information or User Content, and we do not share Personal Information for cross-context behavioral advertising.
European Union, UK, and Swiss Users (GDPR and Similar Frameworks) We process personal data based on applicable legal bases, which may include performance of a contract, compliance with legal obligations, legitimate interests, consent where required, and protection of vital interests in limited circumstances.
Users in the European Union, United Kingdom, and Switzerland may have the right to access, rectify, erase, restrict, object to processing, request data portability, or withdraw consent where processing is based on consent.
Where personal data is transferred internationally, we use legally recognized transfer mechanisms and safeguards, such as standard contractual clauses, data processing agreements, transfer impact assessments, or other applicable protections.

9. Third-Party Links
Our Services may occasionally link to external websites, applications, integrations, or services. We do not control and are not responsible for the privacy practices, security practices, or content of third parties. We encourage you to read their independent privacy policies before providing information to them.
10. Do Not Track
Some browsers may transmit "Do Not Track" (DNT) signals. Because our platform does not use behavioral advertising cookies, cross-site tracking cookies, or targeted advertising technologies, we do not actively alter our site's behavior in response to DNT headers.
11. Modifications to this Policy
We may update or modify this Privacy Policy from time to time to reflect changes in our practices, technologies, legal obligations, or Services. When updates occur, we will adjust the "Last Updated" date at the top of this document.
If changes are material, we may provide additional notice, such as through the Services, by email, or by other appropriate means. Continued use of Rozeta AI following the effective date of an updated Privacy Policy indicates that you acknowledge the revised Policy, to the extent permitted by applicable law.
